Creating a New Appointment

LEAP integrates seamlessly with Microsoft Outlook appointments. New appointments or changes to existing appointments in LEAP will automatically sync and update the appointment in Outlook.

Appointments are scheduled activities that you create in your calendar that do not involve inviting other people. You can do this from either the Calendar & Tasks tab of your matter in LEAP or your calendar in Microsoft Outlook.

You can turn an appointment into a meeting by inviting attendees User-added image.

Create an Appointment from a Matter

 

  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. Click New Appointment.

    An Appointment window will open in Microsoft Outlook.

    A timer will start in the background as soon as the Appointment window opens.

  4. Enter the details of the appointment. For more information on Microsoft Outlook appointments, click here.

  5. (Optional) Click Add Time Entry on the LEAP section of the Appointment ribbon.

    A New Time Entry window will open.

    Complete or edit the details for the new time entry, then click Save & Close.

  6. Click Save & Close.

    The appointment is saved to your Microsoft Outlook calendar and added to the Critical Dates & Calendar Items list of the matter.

    A new time entry will be added to the Time & Fees tab, if applicable.

Create an Appointment from Microsoft Outlook

 

  1. Open Microsoft Outlook.

  2. From the Calendar view, click New Appointment.

    An Appointment window will open.

  3. Enter the details of the appointment. For more information on Microsoft Outlook appointments, click here.

  4. Click Save to Matter in the LEAP section of the Appointment ribbon.

  5. Choose the matter and click Select.

  6. Click Save & Close.

    The appointment is saved to your Microsoft Outlook calendar and added to the Critical Dates & Calendar Items list of the matter.

Create an Appointment in Shared Calendars

 

To create an Appointment in Shared Calenders, follow these steps:

  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. Click next to New Appointment.

  4. Click New Appointment in Shared Calendar: <Shared Calendar Name>.

    If you have multiple shared calendars, use the arrow icon to select the relevant shared calendar.

    An Appointment window will open in Microsoft Outlook.

  5. Enter the details of the appointment. For more information on Microsoft Outlook appointments, click here.

  6. Click Save & Close.

    The appointment is saved to your shared Microsoft Outlook calendar and added to the Critical Dates & Calendar Items list of the matter.

    The appointment will also be saved for other members of the shared Microsoft Outlook calendar.

    To change which calendars have meetings posted to them, go to Calendar and Tasks > Click the arrow next to New Appointment or New Meeting > Select a Shared Calendar from there. 

Create an Appointment on Behalf of Someone Else

 

  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. Click icon next to New Appointment.

  4. Click New Appointment for ....

    The Staff List window will open.

  5. Select staff member you would like to make the appointment for and click Select.

    The New Appointment window will open within LEAP.

    You will only be able to select staff members who have linked their Microsoft 365 email account and LEAP. For instructions on linking their email accounts, please click here.

  6. Enter a Title and Location for the appointment.

  7. Set the Start Date and enter Start Time.

  8. Set the End Date and enter End Time.

  9. (Optional) Tick the All Day Event checkbox if necessary.

  10. Select a Reminder option using the dropdown. 

  11. Enter a Description for the appointment.

  12. (Optional) To change the staff member, click the icon next to Organiser. 

    The Staff List window will open. 

    Select the staff member and click Select. 

  13. Set the Priority using the dropdown.

  14. Click the arrow icon next to Attachments to attach documents to the appointment either via the Files from Correspondence or Browse this PC option. 

  15. Click Save.

    The appointment will be sent to the staff member's Microsoft Outlook calendar and added to the Critical Dates & Calendar Items list of the matter.

Postpone an Appointment

 

  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. From the Critical Dates & Calendar Items list, select the appointment you wish to postpone.

    To select multiple appointments, hold the Ctrl key and click multiple items on the list.

  4. Click Postpone Item(s).

    The Postpone Item(s) will open in a new window.

  5. Enter or use the +/- buttons to select the number of day(s), week(s), month(s) or year(s) that the appointment will be delayed by.

    You can also right-click on an appointment and click Postpone.

  6. Click OK.

    Your appointment is now postponed. The new date will sync and update the appointment in Microsoft Outlook.

Create an Appointment from a Matter

 

  1. Open the matter.

  2. Click the Calendar & Tasks tab.

  3. Click New Appointment.

  4. Enter the details of the appointment. For more information on Microsoft Outlook appointments, click here.

  5. Click Create.

    The appointment is saved to your Microsoft Outlook calendar and added to the Scheduled list of the matter.

  1. Open the matter.

  2. Swipe to or tap the Schedule tab.

  3. Tap then New Appointment.

    You can also tap on the Home screen.

  4. Enter the details of the appointment.

Toggle Teams Meeting on to add a Microsoft Teams Meeting option.

  1. Tap Save.

  3. Tap User-added image then Appointment.

    You can also tap  on the Home screen.

  4. Enter the details of the appointment.

Toggle Teams Meeting on to add a Microsoft Teams Meeting option under Details.

  1. Tap Save.
