How To

The Search Time & Fees window allows you to track Time, Fees, and Activities recorded during a selected period for the entire firm. By applying filters based on specific fee earners (Staff) or the staff member who created the Time or Fee entry, you can narrow down the displayed results and choose to further generate a printout for the search results. The Search Time & Fees window is useful for determining which matters a particular staff member is working on, as well as obtaining a more detailed view on time and fee entries in your invoices.

Location: LEAP Menu > Accounting > under Office Accounting > Time & Fees.

In the Search Time & Fees window, start by selecting your preferred filters. Then, click 'Search' to display the relevant Time, Fee, or Activity entries:

The Date Range can span up to one year for comprehensive all-matter searches. For searches within a specific matter, there is no such limit.

Filters:

Type	Filter the entries by: All: Displays all three types: Time, Fee and Activity entries. Time: Displays Time entries only. Fee: Displays Fee entries only. Activities: Displays Activity entries only. Time & Activities: Displays Time and Activity entries only.
Status	Filter the entries by: All: Displays entries of any Billing Status (excluding Deleted). Billable - All: Displays entries with the Billing Status of Billable - Next Invoice or Billable - Later Invoice. Billable - Next Invoice: Displays entries with the Billing Status of Billable - Next Invoice. Billable - Later Invoice: Displays entries with the Billing Status of Billable - Later Invoice. Not Billable: Displays entries with the Billing Status of Not Billable. Billed - All: Displays all Billed entries. Deleted: Displays all Deleted entries.
Matter	Filters results to show only entries related to the selected matter. If left blank, it will display entries for all matters.
Created By Staff	Display entries created by the selected staff member. This field can be left blank to display entries created by all staff. Click here for more details on this filter.
Staff	Display the fee earner for the entry. This field can be left blank to display entries recorded for all staff.
Activity Code	Display entries that use the selected Activity Code.
Date Range	Filter the entries by: Date Range: Displays entries dated within the selected date range. Important: The Date Range can span up to one year for comprehensive all-matter searches. For searches within a specific matter, there is no such limit. If you attempt to set a date range wider than one year, a prompt window will appear stating: “Please select a date range less than or equal to 1 year".
Inc. tax	The checkbox enables the display of the 'Amount' either inclusive or exclusive of tax.

To print this timesheet, click the printer icon on the top left of the Search Time and Fees window. This will generate the Search Time and Fees window printout, providing a more detailed view of your transactions (Time and Fees List Report)

Click the Print icon in the upper-left corner of the window.

This will open the Reports window, which displays the report preview.
You can further customise the view by grouping entries by Staff, Created by Staff, or Activity Code and choosing from three available formats (PDF, Excel, and Word) for downloading the report.
Click 'Download' to generate the report.

To search for Time and fee entries in LEAP Accounting Plus, do the following:

Click the LEAP Menu > Accounting under Office Accounting > Time & Fees.

LEAP Accounting Plus will open in a new window.
Select Time & fees on the left pane.

All the Time and fees for the selected time period will display in the list.

Use the filter icon to select an option from the drop-down to search the list using that specific filter.

The following filters are available:

Matter	Filters results to show only entries related to the selected matter. If left blank, it will display entries for all matters.
Type	Filter the entries by: All: Displays all three types: Time, Fee and Activity entries. Time: Displays Time entries only. Fee: Displays Fee entries only. Activities: Displays Activity entries only.
Activity Code	Display entries that use the selected Activity Code.
Created	Display entries created by the selected staff member. This field can be left blank to display entries created by all staff. Click here for more details on this filter.
Staff	Display the fee earner for the entry. This field can be left blank to display entries recorded for all staff.
Status	Filter the entries by: All: Displays entries of any Billing Status (excluding Deleted). Billable - all: Displays entries with the Billing Status of Billable - Next Invoice or Billable - Later Invoice. Billable - next invoice: Displays entries with the Billing Status of Billable - Next Invoice. Billable - later invoice: Displays entries with the Billing Status of Billable - Later Invoice. Not billable: Displays entries with the Billing Status of Not Billable. Billed - All: Displays all Billed entries. Deleted: Displays all Deleted entries.

Sort and Grouping

Sort and Group the Time and fee entries by selecting the icon and choosing from the following options:

You can sort the Time and Fees window by:

Date
Matter
Type
Description
Activity code
Staff
Status
Hrs/Qty
Amount ex. tax
Amount inc. tax

You can also group the entries by:

Date
Matter
Type
Activity code
Staff
Status

Compact view: This reduces padding and spacing in tables so you can see more rows on the screen at once.

Print

To print the Time and fees list, click the printer icon on the top right of the Time and fees window.

This will generate a printout that provides a more detailed view of your Time and fee transactions.

On the Home menu, tap the icon to launch the Time & Fee Summary screen.

All time and fee entries of the firm are grouped by individual matters and presented for the selected date.
By default, the summary will display time and fee entries for the current date of your device.

Tap the icon to open the date picker if you want to change the date.
Tap the icon to display the list of filters available for filtering the entries by the following billing status:
- All Billing Statuses: Displays entries of any Billing Status (excluding Deleted).
- Billable - All: Displays entries with the Billing Status of Billable - Next Invoice or Billable - Later Invoice.
- Billable - Next Invoice: Displays entries with the Billing Status of Billable - Next Invoice.
- Billable - Later Invoice: Displays entries with the Billing Status of Billable - Later Invoice.
- Not Billable: Displays entries with the Billing Status of Not Billable.
- Billed: Displays all Billed entries.
- Other > Deleted: Displays all Deleted entries.

Billable - All is set to be the default filter and will revert back to this selection when closing the summary screen.
Use the Search field to manually enter text to search for a time & fee by description, quantity or amount.
Tap on an entry that you wish to open or view.

Depending on the entry you've selected, the Time or Fee Entry screen will open, allowing you to make amendments if needed.

AutoTime entries labelled "ACTIVITY" cannot be viewed on LEAP Mobile. Users will receive the following alert when attempting to open an AutoTime entry: "This entry cannot be viewed on LEAP Mobile. Please use LEAP Desktop."
Tap the icon next to the entry amount to open additional actions:
- Move to Another Matter
- Apply Activity Code
- Delete
