How To

Location: LEAP Menu > Accounting > under Office Accounting > Time & Fees > Search > User-added image .

Purpose: Based on the results of the firm-wide search screen for Time & Fees, this report is designed to facilitate the tracking of Time, Fees and Activities recorded during a selected period.

It provides filtering options for entry Type, Billing Status, Matter, Created By Staff, Staff, Activity Code and Date Range. It also allows for grouping results by Staff, Created by Staff or Activity Code.

About this report:

This report is only available via the Search Time & Fees window.
You can narrow down results by applying filters based on a specific fee earner ('Staff') or the staff member who initially created the Time or Fee entries ('Created by Staff'). The two persons may differ, typically when an assistant creates entries for a fee earner.
Memos will not be included in the report as these are internal notes regarding the time entry.

To generate the report, take the following steps:

In the Search Time & Fees window, begin by applying your preferred filters and click 'Search' to display the relevant Time, Fee or Activity entries.
Next, click on the printing icon located in the upper-left corner of the window. This will open the Reports window, with the report results displayed in the window.
You can further customise the view by grouping entries by Staff, Created by Staff or Activity Code and choose from three available formats (PDF, Excel and Word) for downloading the report.
Finally, click 'DOWNLOAD' to generate the report.

The Date Range can span up to one year for comprehensive all-matter searches. For searches within a specific matter, there is no such limit.

Filters in the 'Search Time and Fees' window:

Type	Filter the entries by: All: Displays entries of all types, including Time, Fee and Activity. Time: Displays Time entries only. Fee: Displays Fee entries only. Activities: Displays Activity entries only. Time & Activities: Displays Time and Activity entries only.
Status	Filter the entries by: All: Displays entries of any Billing Status (excluding Deleted). Billable - All: Displays entries with the Billing Status of Billable - Next Invoice or Billable - Later Invoice. Billable - Next Invoice: Displays entries with the Billing Status of Billable - Next Invoice. Billable - Later Invoice: Displays entries with the Billing Status of Billable - Later Invoice. Not Billable: Displays entries with the Billing Status of Not Billable. Billed - All: Displays all Billed entries. Deleted: Displays all Deleted entries.
Matter	Filter results to show only entries related to the selected matter. If left blank, it will display entries for all matters. NOTE: When a matter is selected, the one-year date range limit does not apply to the search.
Created By Staff	Display entries created by the selected staff member. This field can be left blank to display entries created by all staff. Tips: To find out who created the Time or Fee entry, you can also follow these steps: Go to Matter > Time & Fees > In the TIME & FEES list, right-click on the specific time/fee entry and select 'History...'. The Created by Staff appears under 'MODIFIED BY' for VERSION 1. Note that the above tips do not apply to Activities.
Staff	Display the fee earner selected for the entry. This field can be left blank to display entries recorded for all staff.
Date Range	Filter the entries by: Date Range: Displays entries dated within the selected date range, up to one year. NOTE: The Date Range can span up to one year for comprehensive all-matter searches. For searches within a specific matter, there is no such limit. If you attempt to set a date range wider than one year, a prompt window will appear stating: 'Please select a date range less than or equal to 1 year.'
Inc. tax	The checkbox enables the display of the 'Amount' either inclusive or exclusive of tax.

Report Fields:

Date	The Transaction Date of the entry. NOTE: The report sorts the listed entries in ascending order by 'Date' when 'Group By' is set to 'None'.
Transaction No.	The Transaction Number of the entry.
Activity Code	The Activity Code (if any) selected for the entry.
Matter	Lists the Matter the entry has been created on or attached to.
Client	The Client on the Matter the entry is associated with.
Status	The Billing Status of the entry.
Type	The type of the entry: Time, Fee or Activity.
Description	The Billing Description of the entry.
Created By	The Staff Member who created the entry.
Staff	Display the fee earner's name selected for the entry.
Hrs/Qty	Hrs: Hours for the Time/Activity entry. Qty: Quantity for the Fee entry.
Amount	The Amount of the entry. NOTE: The Amount is either inclusive or exclusive of tax, depending on whether you tick the Inc. tax checkbox in the Search Time and Fees window before generating the report.
Total	The Total row is located at the bottom of the report to show: The Total Hours of the listed Time/Activity entries are provided; Fee entries are not relevant, as they are measured by Quantity. Amount: The total amount of the listed Time, Fee and/or Activity entries.
