How To

Location: LEAP Menu > Accounting > Reports > General Account > General Account Payments Received

Purpose: Provides a comprehensive list of General Account Payments Received dated within a specified period. The report enables you to track, monitor, and analyze funds received from clients or other sources within the specified period. You can refine results based on deposit status, associated bank account, and payment method (Payment Type), such as EFT, Cheque, or Credit Card.

Note that the report also includes a reversal transaction if the reversal date falls within the specified period.

Important Notes:

The report categorizes Payments Received into two types: Deposited Funds and Undeposited Funds:

Undeposited Funds: These are Payments Received not linked to any General Bank Account, such as Cheque or Cash payments. They will be included in the report only when the Bank Account filter is set to Undeposited Funds or All.
Deposited Funds: These are Payments Received that are linked to a specific General Bank Account, such as Payments made via EFT. They will appear in the report only when the Bank Account filter is set to the specific bank account or All.

Convert Undeposited Funds into Deposited funds: Create a General Account Bank Deposit for an undeposited Payment Received (e.g., personal cheque payments). This indicates that the funds have been deposited into a specific General Bank Account. As a result, the associated Payment Received will transition from 'Undeposited Funds' to 'Deposited Funds', and thus be included in reports generated for that particular General Bank Account.

Report Filters:

Date Range	Displays Payments Received created within the specified period, based on the Payment Received's Transaction Date.
Bank Account	Choose one of the following options: All: Includes Payments Received linked to any General Account Bank Account(s) as well as undeposited Payments Received. It facilitates a comprehensive view of all Payments Received, regardless of their deposit status or associated bank account. Undeposited Funds: Includes undeposited Payments Received only. It focuses specifically on Payments Received that have not yet been deposited into any General Bank Account. Specific General Bank Account: Includes Payments Received deposited into a specific General Bank Account. You can choose a particular bank account to view only Payments Received associated with that account.
Payment Types	Select one or more payment methods to refine results or All payment methods.
Expand Row Groups	Choose whether to expand or collapse row groups in the report. Yes: Displays additional details, including the relevant matter number, client name, and invoice number. No: Hides the matter number, client name, and invoice number.

Report Fields:

Date	Transaction date of the Payment Received.
Ref. No.	Reference Number of the Payment Received. NOTE: If the reversal of a Payment Received is included in the report, it will have the same Rec. No as the original Payment Received. However, the amounts within the entry will be enclosed by parentheses, indicating that it is a reversal.
Payment Type	Payment method of the Payment Received.
Debtors Mailing Address	The debtor and the debtor's mailing address. NOTE: This is derived from the data entered or populated in the Mailing Address field within the Payment Received window.
Memo	The Payment Received's memo: it falls into one of three categories: "Payment; [Client's surname]": This indicates a typical Payment Received. "Trust to Receivables Transfer": This indicates that the Payment Received was generated through "Trust to Receivables Transfer". "Reversal: Payment; [Client's surname]": This indicates that the entry is a reversal transaction, reversing a previous Payment Received.
Reversed Date	The Payment Received’s reversal date. NOTE: This field pertains exclusively to a Payment Received that has been reversed at the time of report generation. If the specified date range covers the reversal's transaction date, the reversal will be presented as an entry in the report. The report shows both the Payment Received and its reversal only when their transaction dates are both within the specified period. This allows them to cancel each other out in value.
Added Columns When Expanded	When expanded, the following three columns will be displayed: Matter No.: The matter number associated with the entry. Client Name: The client linked to the relevant matter. Invoice Number: The invoice that the Payment Received was applied to.
Amount Ex Tax	The Payment Received’s value allocated to non-tax components on invoice.
Tax	The Payment Received’s value allocated to tax components on invoice.
	NOTE: 1. The Payment Received value is allocated between Amount Ex Tax and Tax in proportion to their amounts on the relevant invoice. 2. No value is allocated to tax if: There is no tax component on the relevant invoice, or The Payment Received only generates Retainer under the Retainer & Credits Ledger.
Amount Inc Tax	The Payment Received’s total value inclusive of tax.
