How AutoTime (Matter Activity Recording) Works

As you work, LEAP automatically records the time spent on the following activities:

Creating a new document in Word.
Editing a document in Word.
Viewing or reviewing a document in Word.
Creating and sending an e-mail via Outlook.
Viewing or reviewing sent e-mail via Outlook.
Editing a draft e-mail in Outlook.
Creating or Modifying PDF documents in Adobe Acrobat.
Appointments.
Meetings.
Creating a new spreadsheet in Excel.
Editing a spreadsheet in Excel.
Viewing or reviewing a spreadsheet in Excel.
Comments.
Relevant 3rd party apps.

Recorded activities are billable but you can always mark them as non-billable. Billable activities will be automatically converted to a time entry. You can edit and modify the time entries if required.

By default, all Time Recorded Matters will have the Activity Billing button at the top left of the Matter window. At any time, you can toggle off this button to pause recording Billable time for this matter. You can toggle on this button on again at any time to resume recording Billable time for this matter.

You can select the drop-down arrow next to the Activity Billing button and select Settings to toggle off or on Billable recorded time for individual staff members working on this matter.

This can also be accessed through the Matter Details > Activity Billing tab.

Once you turn on AutoTime (Matter Activity Recording), it records activities going forward but not activities before it was enabled.

As you work, LEAP iOS automatically records the time spent on the following activities:

Creating a new document in Word.
Editing a document in Word.
Viewing or reviewing a document in Word or in Preview mode.
Creating and sending an e-mail via Outlook.
Viewing or reviewing sent e-mail via Outlook or in Preview mode.
Editing a draft e-mail in Outlook.
Appointments.
Meetings.
Creating a new spreadsheet in Excel.
Editing a spreadsheet in Excel.
Viewing or reviewing a spreadsheet in Excel or in Preview mode.
Comments.
Phone Call.
FaceTime Audio.
FaceTime Video.
Scan documents.

AutoTime in Word

Creating, editing, and reviewing word documents are all time recorded in Word.

There is a Billable/Not Billable toggle option added to the Microsoft Word ribbon under the LEAP tab. If you do not wish to bill for the time you are currently working on in the document, simply toggle off the Billable button.

AutoTime in Outlook

Emails Sent

The time it takes to create, edit, and send a new email via Outlook is all recorded.

You can toggle the Billable option to Not Billable if you do not want LEAP to create a billable entry for this activity.

Sent emails can be viewed and will be time recorded. If you do not wish to charge for viewing sent emails toggle the Billable option to Not Billable.

Emails Received

Emails received will be time recorded. An automatic time entry will be created after saving the e-mail to LEAP.

AutoTime in PDFS

Creating, reviewing or modifying PDF documents in Adobe Acrobat are all time recorded.

When your PDF document is open in Adobe Acrobat, you'll see the LEAP Icon under 'All Tools' on the left pane.

Click the LEAP Icon to open more options.
Toggle the 'Billable' buttonon or off.
The Activity will show a 'Modified' label below the PDF description with the details of the time spent, units and hours captured.

AutoTime Appointments and Meetings

Automatic time entries are created for Outlook Appointments and Meetings created in the LEAP Matter.

Creating appointments for the past, creates a billable time fee entry for that date.

AutoTime in Excel

Creating, editing, and reviewing Excel spreadsheets are all events that are time recorded.

There is a Billable/Not Billable toggle option added to the Microsoft Excel ribbon under the LEAP tab. If you do not wish to bill for the time you are currently working on in the document, simply toggle off the Billable button.

Comments

You can use comments to manually add any other event that is not time recorded by LEAP, including phone calls or research.

Create a New Comment.
Complete the comment with the details of the activity.
Click Save & Billable which will save the exact time spent on the comment or select the drop-down arrow to manually input the billable units/minutes for the activity.

Once saved, this activity will be transferred into an Activity Entry.

Activities

Activities that are time recorded will be grouped together as one Time Entry per staff member per day and will display the following:

Billable: Choose the activities added to the bill. Uncheck the Billable box against the individual activity to remove from invoice. You can also drop down the three dots to filter the list by Billable/Not Billable activities.

Created: Time the recorded activity ended, and the entry was created.

Activity: Description of the activity.

Time Spent: Duration of the activity recorded.

Units: Billable Units.

Hours: Billable Hours based on Units.
