Please include the following steps in any staff offboarding procedures for your firm.

Outlook Tasks

Any Tasks in Outlook that are linked to matters in LEAP may become orphaned if a user’s Outlook account and profile are disabled and removed. These Tasks may be reassigned to a different staff member or deleted outright.

To delete a Task, right-click any of the tasks in the Task List and click Delete.

If a user's LEAP profile has been disabled, you may need to temporarily assign one of the firm's LEAP licences to the inactive user, then log in and remove the Tasks. A LEAP Admin will be able to view the inactive users profile in order to determine the correct username and manually set a password to use.

Microsoft and Email Accounts

Disabling access to a former employee’s Microsoft accounts helps to ensure they are unable to access your firm’s non-LEAP systems. Disabling their email accounts also prevents departed staff from requesting a password reset for any linked logins for LEAP. Your firm’s IT consultant can arrange this for you if you do not have direct access to manage those systems.

LEAP

Any LEAP logins for former employees must have their access revoked. There are two stages to deleting a user's current access from LEAP:

  • Sign Out & Clear
  • Remove Access

Sign Out & Clear

Firms can forcibly log a user out of any machine where the user has logged into LEAP Desktop. This can be done through Device Management.

  1. Log into LEAP as an Admin user.

Desktop: Click the LEAP Menu > Settings > Application Settings.

The LEAP Application Settings will open in a new window.

Web: Click > Settings > Application Settings.

The LEAP Application Settings will open in a new window.

  1. Click Firm > under Staff > Members. This will bring up your Staff Members List.

  2. Click on the former Staff Member and select Device Management from the menu on the left.

This will bring up the Device Management page. You can see a list of all devices where that user has logged into LEAP Desktop.

  3. Click Sign Out & Clear to log out that user and clear the local data from that device.

  4. Repeat this for all listed devices.

Remove Access

After you have cleared all devices for the former Staff Member, you will need to remove their Access & Permissions to LEAP.

Before removing the Access & Permissions for Staff Members, please ensure there are no restricted matters assigned to the Staff Member, or that additional Staff Members can access these restricted matters.

  1. While still in Staff Details, select Access & Permissions from the menu on the left.

  2. Disable access by toggling the switch to the left for each level in the following order:

    • LEAP - Admin Access
    • LEAP - Standard Access
    • Current Staff Member - The staff member will no longer be displayed in the Current Staff List.

  3. Once you have disabled all three settings, click Save.

You should see the following message confirming if you wish to Revoke Access.

  4. Click Revoke Access.

  5. Click the link that says Go to this site to enable/disable user (under LEAP Standard Access). This will take you to the LEAP Subscription Portal. Under Manage Licences, Toggle off the Assign/Unassign tab next to the former user to revoke their access. This will unassign a licence from this user.
