How To

Securely share matter correspondence with clients and other people associated with a matter using LawConnect. LawConnect is a cloud-based Document Management System for your clients that integrates seamlessly with LEAP. There's no set up for you and your existing LEAP username and password are used to log in. With LawConnect:

you can share documents with your clients
your clients can upload documents into LawConnect and LEAP

It is easy for you to share documents directly from the electronic matter or the document itself, and you can instantly see if a shared document has been read. Unlike email, you can also revoke access to a document. When you no longer wish to share documents with certain recipients that you initially shared documents with, you can revoke their sharing access to LawConnect.

All documents are stored safely in Amazon Web Services, the same facilities where your LEAP data is stored.

Before sharing documents with your clients or other parties, you may want to notify them that you'll be sharing matter correspondence using LawConnect for the duration of the matter. You can share this information with your clients to let them know how to use LawConnect.

Share a Document from the Correspondence List

Open the matter.
Make sure you're on the Details & Correspondence tab.
Select the document listed in the Correspondence List.

To share multiple documents, select the first document then hold down the Ctrl key on your keyboard and continue to select the other documents you wish to share.

Please note, there is a maximum limit of 50 documents that can be shared at one time per email.
Click Share on the toolbar.

The selected document is displayed as attachments at the top of the LawConnect window.
Cards associated with the matter are listed in the To field. Select the person(s) you wish to share the document with. There are no CC and BCC fields when sharing a document via LawConnect.
Select an Access option:
- Sign In to view - requires the recipient to sign in or create a LawConnect account.
- Anyone with the link can view - allows anyone to preview shared items without creating a LawConnect account or logging into LawConnect.

The recipient can now request a one-time access link to view when you select the Access - Sign In to view option if they have not signed up with LawConnect yet.

Write a Message (Optional).
Select a Share As option:
- PDF (Restrict Editing)
- PDF
- Original Format

Sharing a document in a format other than its original, such as PDF or PDF (Restrict Editing), creates a copy of the document.

If you have made edits to a PDF file since its initial creation, you may experience issues when trying to share the file via the "PDF (Restrict Editing)" option. For example, the error message "Unable to process this request. Please contact LEAP." may appear. If this occurs, you will need to select the "Original Format" option instead.
Click Share.

Once documents have been shared, the icon will display alongside the documents in the Correspondence List.

Once the documents have been viewed by your recipients, the icon will change to .

Your recipients can also upload files via LawConnect to share with you. These uploaded files will appear in the LEAP matter Correspondence List in a folder named LawConnect Collaboration Folder with <Client Name>.

You can use the LawConnect - View Shared Items window to monitor and change the document's status. To find out more click LawConnect - View Shared Items.

If you are unable to view shared documents, please perform a LEAP Repair.

Share a Document from an Email

Open the matter.
Make sure you're on the Details & Correspondence tab.
Click New Email on the toolbar.
Select the recipient(s) of your email.

The Subject field is automatically filled with the matter description.
Click Insert File on the Message ribbon.

The Share Correspondence will open in a new window.
By default, you should be on the LawConnect Sharing option. If not, click LawConnect at the top-right corner.

To share and attach documents without using LawConnect, see Creating a New Email > Attaching Documents from a Matter to an Email for more info.
Select or search for the documents you wish to attach from your matter's Correspondence List.
Select a Share As option:
- PDF (Restrict Editing)
- PDF
- Original Format
Select an Access option:
- Sign In to view - requires the recipient to sign in or create a LawConnect account.
- Anyone with link can view - allows anyone to preview shared items without creating a LawConnect account or logging into LawConnect.

Click Insert.

To remove the attachment from the email, right-click on the attached item and click Remove LawConnect Attachment.

Complete and send the email.

Once documents have been shared, the icon will display alongside the documents in the Correspondence List.

Once the documents have been viewed by your recipients, the icon will change to .

Your recipients can also upload files via LawConnect to share with you. These uploaded files will appear in the LEAP matter Correspondence List in a folder named LawConnect Collaboration Folder with <Client Name>.

You can use the LawConnect - View Shared Items window to monitor and change the document's status. To find out more click LawConnect - View Shared Items.

Stop Sharing a Document

There are two ways to stop sharing a document with a user:

Via Matter

Open the matter.
Make sure you're on the Details & Correspondence tab.
Select the document and click the drop-down arrow next to then select Manage Access.
In the Access section next to the recipient you wish to stop sharing with, click the drop-down menu and select Revoke.
Click Update.

The icon will no longer display alongside the document in the Correspondence List.

When you revoke access, the recipient(s) can no longer view the shared document via LawConnect.

Via Shared Items

Click the LEAP Menu > Home > View LawConnect Shared Items.

The Shared Items window will open.
Search for the document required.
Right-click the item and select Manage Access.

Should you wish to revoke the access of the document for all users at once, right click the item and instead, select Revoke Access.
In the Access section next to the recipient you wish to stop sharing with, click the drop-down menu and select Revoke.
Click Update.

The item will no longer appear in the Shared Items window.

When you revoke access, the recipient(s) can no longer view the shared document via LawConnect.

Notifications

Internal LEAP notifications are used to keep the user up to date with actions on the case. When updates are made to the shared folder in LawConnect, a notification and an email is triggered. You can manage these notifications as follows:

From the LEAP Matter List, click the LEAP Menu > Settings > Application Settings.

The LEAP Application Settings will open in a new window.
Click Firm > under Staff > Members.

The Staff Members List will open.
Locate and select your user profile.
Click Notifications tab.

This area will show all the areas within LEAP where notifications can be triggered.
Browse the list to locate LawConnect.
Toggle the notifications for the following options, On/Off.
- LawConnect Comment
- LawConnect File Upload
- LawConnect Matter Link Doc Sync

Share a Document

Open the matter.
Make sure you're on the Details & Correspondence tab.
Tick the box next to the document listed under Correspondence.

To share multiple documents, select the box next to the documents you wish to share.
Right-click on the document or click the ellipsis icon and select Share Securely Via LawConnect.

The selected document is displayed an attachment at the top of the LawConnect Share Correspondence window.
Cards associated with the matter are listed in the Recipient(s) field. Select the person(s) you wish to share the document(s) with.
Select an Access option:
- Login to view - requires the recipient to sign in or create a LawConnect account.
- Anyone with link can view - allows anyone to preview shared items without creating a LawConnect account or logging into LawConnect.

The recipient can now request a one-time access link to view when you select the Access - Login to view option if they have not signed up with LawConnect yet.

You can write an optional Message To Recipient(s).
Click Share.

Once documents have been shared, an icon will display alongside the documents under Correspondence.

Once the documents have been viewed by your recipients, the icon will change to .

Your recipients can also upload files via LawConnect to share with you. These uploaded files will appear in the LEAP matter in a folder named LawConnect Uploaded Files.

You can use the LawConnect - View Shared Items window to monitor and change the document's status. To find out more click LawConnect - View Shared Items.

Stop Sharing a Document

There are two ways to stop sharing a document with a user:

Via Matter

Open the matter.
Make sure you're on the Details & Correspondence tab.
Tick the box next to the document listed under Correspondence.
Right-click on the document or click the ellipsis icon and select Share Securely Via LawConnect.
In the Change Access section, click the drop down menu and select Revoke Access.
Cilck Update.

The icon will no longer display alongside the document in the Correspondence List.

When you revoke access, the recipient(s) can no longer view the shared document via LawConnect.

Via Shared Items

Click > Home > View LawConnect Shared Items.

The Shared Items window will open.
Search for the document required.
Right-click the item and select Manage Access.

Should you wish to revoke the access of the document for all users at once, right click the item and instead, select Revoke Access.
In the Access section next to the recipient you wish to stop sharing with, click the drop-down menu and select Revoke.
Click Update.

The item will no longer appear in the Shared Items window.

Tap next to the document or open the document in preview mode and tap .
Tap Share.

The selected document will be displayed as an attachment at the top of the LawConnect Share window.
The client(s) will be automatically populated in the To field.

All people associated with the matter can be accessed by tapping in the To field. You can access all cards by tapping Browse All Cards.

You can also include other people not in any of the lists by typing their email address in the To field.
Select an Access option:
- Sign In to view - requires the recipient to sign in or create a LawConnect account.
- Anyone with the link can view - allows anyone to preview shared items without creating a LawConnect account or logging into LawConnect.

If you make changes to a document you've already shared with your client, the new version is not automatically shared to LawConnect. You'll have to re-share the updated document with your client. For real-time collaboration, see LawConnect - Sharing Folders.
