How To

Location: LEAP Menu > Reports > Matters & Clients > Matters by Last Activity

Purpose: The report displays matters that have no defined Activity since your selected date. It provides insights that can aid in:

Pinpointing Matters that may need further attention or action.
Monitoring the overall health and engagement levels of Matters within the legal practice. This information can help with assessing workload distribution and evaluating case efficiency.
Determine which matters were actioned on a particular date.

This report is generated with the latest results once per day and refreshes the next day.

For example, if on 04/12/2024 you run the report for the first time at 11 PM, the report will include changes made up to 11 PM on that date. Updates made after this time will be reflected in the next day's report.

Important notes:

1. The report does not include archived matters.

2. Types of Activities Considered by the Report:

Creating or modifying Matter Details information, including unarchiving a matter.
Creating or modifying documents.
Creating or modifying Professional Fees (Time or Fee entries).

Inclusion Criteria for Matters in the Report:

For a Matter to be featured in the report, it needs to meet all three of the following conditions:
- No Matter details have been created or modified since the specified date.
- No documents have been created or modified on the Matter since the specified date.
- No Professional Fees have been created or modified on the Matter since the specified date.
For a featured Matter, the report shows the dates of the last relevant activities (if any).

Note: If a user unarchives an archived matter and generates the report data the next day, the matter will still not be displayed in the report. This is because unarchiving a matter is considered as modifying the matter's Matter Details, thus excluding the matter from the report data.

Report Filters:

At Date	Filters results to exclusively feature matters with no defined Activities since the chosen 'At Date'.
Matter	Includes three filters for narrowing down matters: Reporting Group: Filters results to only include matters assigned to any of the selected Reporting Group(s). Matter Status: Filters results to only include matters with any of the selected Matter Status(es), excluding 'Archived'. Matter Type: Filters results to only include matters that fall under any of the selected Matter Type(s).
Staff	Includes three staff-related filters for narrowing down matters: Include Inactive Staff: No: Exclude inactive staff in the Staff list for selection. Yes: Include inactive staff in the Staff list for selection. Staff Type: Identifies the role of the selected staff for matter restriction. Staff Responsible Staff Acting Staff: Provides a list of staff members to choose from. The list dynamically updates based on the selected Include Inactive Staff option. NOTE: A staff member is considered inactive if their Current Staff Member option is togged off under the Access & Permissions in the Staff Details window (Menu > Settings > Application > Settings > Firm > Staff > members). These three filters work together to refine staff selection, thereby narrowing down associated matters. Specifically, the Include Inactive Staff option determins whether inactive staff are available for selection, while the Staff Type filter identifies the role of the selected staff for matter restriction. For example, if your focus is solely on matters where Staff A (an active staff member) assumes the role of Staff Responsible, you can keep the Include Inactive Staff in its default No setting, set the Staff Type as Staff Responsible and choose Staff A from the 'Staff' list. Together, these filters effectively limit the displayed matters to those where Staff A acts as the Staff Responsible.

Report Fields:

Matter No.	The matter number.
Client	The matter's client.
Matter Type	The matter type.
Resp.	The Person Responsible on the Matter.
Act.	The Person Acting on the Matter.
Matter Information added /modified	The latest date when the Matter Details was either modified or had information added.
Documents added/modified	The latest date when a document has been modified or added to the matter.
Time & Fee added/modified	The latest date when a professional fee has been modified or added to the matter.
	NOTE: 'Matter Information added / modified', 'Documents added / modified' and 'Time & Fee added / modified' do not consider Activity occurring after your selected 'Last Activity Since' date.
