Time and Fees

The Time and Fees window has been fully rebuilt within the LEAP Accounting Plus framework, providing a modern and streamlined interface for creating and managing Time, Fees, and Activities across the firm. It serves as a centralised workspace where you can create new Time or Fee entries at a global level, making it easy to record work across multiple matters from a single location. 

The new layout is designed to provide better visibility, improved navigation, and faster access to key actions such as creating entries, filtering results, and managing billing status.

Create a New Time Entry

 

To enter a new time entry:

  1. Click New time entry or press Insert on your keyboard.

    The Timer will automatically start as soon as the New time entry window opens.

  2. Select a matter from the Matter drop-down list, or search for a matter using the icon.

  3. Select the Activity Code from the drop-down list or search codes using the icon.

Press the Tab key on your keyboard to navigate through the relevant fields and enter the required time entry details.

  1. Select the billing Unit length from the drop-down list.

  2. (Optional) To enter the number of Units, click the Stop Timer button.

  3. Select a Billing Rate (this is the hourly billing rate) from the drop-down list.

  4. The Rate Per Hour field equals the Billing Rate unless it's manually changed. If the billing rate is zero or the other option, the Rate Per Hour must be entered manually.

    Toggle Inc. tax on, if required.

  5. Enter a Billing Description. The description will be displayed on the client's invoice.

  6. Enter a Memo. These are internal notes regarding the time entry and will not be displayed on the client's invoice.

  7. By default, the staff member logged in appears in the Staff field.

    Click the Staff drop-down to choose another staff member from the list.

  8. Select when the time entry is to be billed from the Billing drop-down list.

  9. By default, today's date is entered as the Date. Click the Date Picker button  to select a different date, if required.

  10. The Hours, Amount, Tax and Total are automatically calculated based on the Units and Billing Rate or Rate Per Hour.

  11. Click Save to return to the Time and fees window or Save and new to save your time entry and stay on the New time entry window.

Create a New Fee Entry

 

To enter a new fee:

  1. Click New fee or press Shift + Insert on the keyboard.

    The new fee window will open.

  2. Select a matter from the Matter drop-down list, or search for a matter using the icon.

  3. Select the Activity Code from the drop-down list or search codes using the icon.

  1. Enter the Quantity.

  2. Enter the Amount for each item and toggle Inc. tax on, if required.

  3. Enter a Billing Description. The description will be displayed on the client's invoice.

  4. Enter a Memo. These are internal notes regarding the fee entry and will not be displayed on the client's invoice.

  5. By default, the staff member logged in appears in the Staff field.

    Click the Staff drop-down to choose another staff member from the list.

  6. Select when the fee entry is to be billed from the Billing drop-down list.

  7. By default, today's date is entered as the Date. Click the Date Picker button  to select a different date, if required.

  8. The Amount, Tax and Total are automatically calculated based on the Units and Billing Rate or Rate Per Hour.

Additional tax options can be selected by clicking on the arrow next to Tax in the Amount section, which will also change the Tax description.

  1. Click Save to return to the Time and fees window or Save and new to save your fee entry and stay on the New fee window.

Actions

 

You can perform the following actions from the Time and fees window:

  • Edit: Open and edit a single entry.
  • Set to: You can set one or multiple entries as Billable – next invoice, Billable – later invoice, or Not billable.
  • Apply activity code: You can change the activity code for the selected entry.
  • Apply billing rate: Set one or multiple entries to a different billing rate or a custom rate.
  • Move to: Move one or multiple entries to a different matter or to another staff member.

You can also access the Actions by right clicking on any entry from the list or clicking on the ellipsis icon of an entry.

Filter and Sort

 

Filter

 

The following filters are available from the Time and fees window:

Choosing any option from the filter list will show that specific field next to the filter icon, along with additional actions as outlined below.

  1. Matter: Filters results to show only entries related to the selected matter. If left blank, it will display entries for all matters.
  2. Type:
    • All: Displays all three types: Time, Fee and Activity entries.
    • Time: Displays Time entries only.
    • Fee: Displays Fee entries only.
    • Activities: Displays Activity entries only.
  3. Activity Code: Display entries that use the selected Activity Code.
  4. Created: Display entries created by the selected staff member. This field can be left blank to display entries created by all staff. Click here for more details on this filter.
  5. Staff: Display the fee earner for the entry. This field can be left blank to display entries recorded for all staff.
  6. Status:
    • All: Displays entries of any Billing Status (excluding Deleted).
    • Billable - all: Displays entries with the Billing Status of Billable - Next Invoice or Billable - Later Invoice.
    • Billable - next invoice: Displays entries with the Billing Status of Billable - Next Invoice.
    • Billable - later invoice: Displays entries with the Billing Status of Billable - Later Invoice.
    • Not billable: Displays entries with the Billing Status of Not Billable.
    • Billed - All: Displays all Billed entries.
    • Deleted: Displays all Deleted entries.

Sort and Grouping

 

You can sort and group the time and fee entries by selecting the icon and choose from the following options:

You can sort the Time and fees window by:

  • Date
  • Matter
  • Type
  • Description
  • Activity code
  • Staff
  • Status
  • Hrs/Qty
  • Amount ex. tax
  • Amount inc. tax

You can also group the entries by:

  • Date
  • Matter
  • Type
  • Activity code
  • Staff
  • Status

Compact view: This reduces padding and spacing in tables so you can see more rows on the screen at once.

Print

 

To print the Time and Fees list, click the printer icon in the right-hand corner of the Time and fees window.

This will generate a printout that provides a more detailed view of your time and fee transactions.

You can also export the Time and Fees list to Excel by clicking the ellipsis icon beside the printer icon, then selecting Excel.
