How To

Location: LEAP Menu > Other > Legal Aid - Reports > Office > Aged WIP Report.

Purpose: Provides a comprehensive listing of the total Work in Progress (WIP) on legal aid matters as of the selected date, with a breakdown by ageing periods.

Report Trigger: The report includes time and fees on legal aid matters that have not yet been billed as of the 'At Date'. This includes time and fees with a status of 'Billable - Next Invoice' or 'Billable - Later Invoice', as well as those on draft invoices (treated as unbilled).

Important Notes:

This report does not reflect on entries dated after the 'At Date'.
This report is dynamic; if a WIP entry is added and backdated within the selected date range, it will be included in the report.
If an entry is deleted within the specified period, it will be removed from the report. However, if it's deleted after the specified period, it will be counted towards the matter's 'Total' aged WIP. And Deletion Date refer to the date when the entry was deleted.

Report Filters:

Date	Displays time and fee entries that remain unbilled as of the selected date.
Display amounts including tax	Provides an option to display items with or without tax: Yes, or No

Report Fields:

Matter No.	The matter number
Client	The client name
UFN	The Unique File Number (UFN) that appears in the matter's 'Legal Aid Details' window. See an example below:
Matter Description	The matter description
Total	Displays the cumulative unbilled time and fees for the matter, covering all ageing categories.
Ageing Periods (e.g., Current, 30, 60, 90)	Provides a breakdown of unbilled time and fees by ageing period. Note: Ageing Periods categories can be customised under the LEAP Menu > Settings > Application Settings > Accounting > Reports.

To review the entries contributing to a matter's 'Total' aged WIP, refer to the Aged WIP Report from LEAP Reports. When cross-referencing:

On the Aged WIP Report page, ensure the following filter settings are applied before clicking 'VIEW':
- - Set the 'At Date' filter to match.
  - Exclude draft entries by setting 'Inc Draft' to 'No'.
  - Exclude non-billable entries by setting 'Inc. Non-Billable' to 'No'.
  - Include WIP on hold by setting 'Inc. WIP on Hold' to 'Yes'.
  - Ensure the 'Inc. Tax' filter to match.
  - Confirm that other filters are also set properly to ensure the inclusion of the concerned matter.
Navigate to the matter and expand the line to review the specific entries comprising the matter's 'Total'.
