InfoTrack - Services

InfoTrack provides a range of services including property, company and personal searches. InfoTrack services are automatically populated with the information entered in your LEAP matters while expense recoveries are assigned to the matter’s ledger in real-time.

The InfoTrack services that are available will vary based on the type of matter.

Accessing InfoTrack is simplified as it uses Single Sign-On (SSO) for authentication.

Order a Search or Service

 

To order a service through InfoTrack, follow these steps:

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click InfoTrack Services on the toolbar.

    The InfoTrack Services will open in a new window.

  4. Select the service that you would like to use.

  5. Enter the particular details of the required service. The price will be displayed.

  6. Click Submit/Place Order.

    InfoTrack integration can be activated for free within LEAP. However, you will need to pay for any services you use. InfoTrack will invoice you on a monthly basis.

    The InfoTrack Services window in LEAP is used to initiate services for a single matter. If you wish to initiate services for several matters in bulk, you will need to visit the InfoTrack website. For more information on this, please Contact InfoTrack.

When the search or service has been completed, the document is automatically placed in the Correspondence List of the matter where the service was initiated with a status of Complete.

Notifications Sent when a search order update is made can be toggled on or off through Menu > Settings > Application settings > Firm > Members > User name > Notifications > Under Leap > "Sent when a search order update is made".

Invoice a Search or Service

 

When you place an order for an InfoTrack search or service, an associated Expense Recovery will be automatically imported into the matter for billing.

  1. Open the matter.

  2. Click the Office Accounting > Expense Recoveries tabs.

You'll notice an entry in the table for the search or service you ordered using InfoTrack. You can proceed to invoice the entry to your client.

If an Expense Recovery is showing on InfoTrack but not showing in LEAP > Matter > Office Accounting > Expense Recoveries, please contact InfoTrack to push through the information.

 

If InfoTrack have pushed the information to LEAP and it is still not showing, you can manually create an Expense Recovery and assign it the Recovery Code for InfoTrack services.

 

If there are duplicate or multiple Expense Recoveries for one search or service, and you want to find out about refund process, please contact InfoTrack.

View a Summary of Search Fees for a Matter

 

To view a summary of search fees from InfoTrack, follow these steps:

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click the dropdown arrow next to InfoTrack Services on the toolbar.

  4. Select Searching Fees Summary.

    The Searching Fees Summary will open in a new window.

Reconcile Searches

 

  1. Click the LEAP Menu > Accounting > under Office Accounting > Reconcile Searches.

    The Reconcile Searches will open in a new window.

  2. Select the date range and order status.

  3. Tick the entries that appear on your invoice for a matter.

  4. Click Reconcile Now to finalize or click Save & Reconcile Later to come back to it another time.

To include archived matters, click and select Include archived matters.

Itemize InfoTrack Searches

 

If you're experiencing an issue where your InfoTrack searches in Expense Recoveries are grouped as a lump sum instead of being itemized when issuing a Tax Invoice, a LEAP Admin user will need to resolve the issue by following the steps below. Please note that non-Admin users will not have access to these settings.

  1. Click on the LEAP Menu > Settings > Application Settings.

    The LEAP Application Settings will open in a new window.

  2. Select Accounting > under Activity Codes > Expense Recovery.

  3. Select "InfoTrack Search Fees (itsf)" from the Recovery Code list to edit it.

  4. Untick the "Group on Invoice" option if you prefer the activity to be itemized separately rather than grouped as one entry.

Update Your InfoTrack Credentials in LEAP

This section is not necessary if your InfoTrack services are authenticated via SSO.

Update your InfoTrack credentials in LEAP:

Ensure you have the InfoTrack credentials on hand first.

Then please follow these steps in the Application Settings - Integrations > InfoTrack Credentials article to disconnect the integration and reconnect to integrate LEAP with InfoTrack.

Locate a Search

 

You may be able to locate some searches through the Search All Correspondence window.

For InfoTrack errors encountered through the LEAP interface, you may reach InfoTrack here.

Missing searches should be referred to InfoTrack for investigation.

Order a Search or Service

 

  1. Open the matter.

  2. Make sure you're on the Details & Correspondence tab.

  3. Click InfoTrack Services.

    The InfoTrack Searching & Services will open in a new window.

  4. Select the searches or services that you would like to initiate.

  5. Enter the particular details and click Submit.
